Measuring intranet indicators by responsible area helps move beyond generic metrics like "visits" and understand whether the platform is solving real problems.

A corporate intranet involves HR, Communication, IT, Operations, Legal, Quality, and leadership. Each area needs indicators aligned with its responsibility.

Initial KPI matrix

Communication reach, reading by audience, campaign engagement, pending critical announcements
HR service access, onboarding completion, frequent questions, employee portal usage

Operations reading by unit, access to procedures, training completed, questions reduced

Adoption indicators

Adoption shows whether people use the intranet:

  • active users;

Content quality indicators

Monitor searches with no result, expired documents, pages with no owner, content with no access, negative feedback, and duplicate documents.

  2. Define an owner for each metric.
  3. Review monthly at the beginning.
  4. Connect numbers to concrete actions.
  5. Remove metrics that do not drive decisions.
